Event Day Low-down:
The setup started at night around 9.00pm as we had to wait for the event space area to be cleared out. We started by laying the canopies and working on the stage + backdrop while our sound team was putting the beat up and to test. There was something that took place in this event that slowed and challenged the team in the planning process stage.
Allow us to share:-
The mishap was the portables toilets were laid wrongly due to miscommunication and it turned into a slight hassle for our work-force. The toilets were too heavy and the truck to lift it just deployed and took off with no sight. To fix this, we had to release the clean water (it was unused, we got away big time!) and drag the “rock like” toilets almost a 100m to regain proper positioning. This drained much of our crews energy but still resulting to managing and tackling the entire issue whilst being attentive.
Note to self: Always finalize the event area plan layout and get a sign-off to ensure the Event Executive or Event Manager in charge can follow and execute the event management as planned. Double, triple or quadruple check if there are any doubts before laying heavy or large objects around.
The next morning the whole show was up and running and the amount of people turned up was close to one thousand five hundred people. The carnival game stalls were a sellout, ample of food was served as the initial plan was to cater for 2,000 guests. During the event, we had hired a drone camera to fly and capture aerial footages and if you are curious, the footages were absolutely stunning!
There were a lot of prizes and lucky draws that were dished out that day and many went home smiling like “fruitcakes”. We would claim this event a success and a generous teaching in sharpening our craft in order for us to provide nothing but the best Event Management solutions.
